Position Responsibilities:
The Data Assistant supports the District’s Director of IT Services and Data Manager in maintaining accurate district data records in accordance with DESE regulations and guidelines and established district procedures. The Data Assistant assists the Data Manager in the completion of mandated reports, which include confidential information; such as teacher evaluations and student lunch and homeless status.
- Ensures the accuracy and integrity of the District’s information systems as required by state and federal guidelines.
- Assists with the completion of mandated reports; including SIMS, EPIMS, Student Attending Children Report, and Civil Rights.
- Assists in the scheduling of classes at the elementary schools.
- Assists with the development and compilation of data reports, including student demographic, testing, enrollment assessment and other reports that provide required and useful information to the District’s administrative team and Data Manager.
- Provides tech support to staff.
- Other tasks as assigned.
The Data Assistant the supervision of the Data Manager and in close collaboration with the Superintendent of Schools and Director of Student Support Services, may support with enrolling students in the District, including:
- Meets with all parents/guardians and assists them with the completion of all necessary documentation.
- Verifies student residency and date of birth.
- Enters all student records and information in the District’s database.
- Communicates essential information to the appropriate school personnel and departments of students’ enrollment.
- Maintains enrollment forms and data.
- Transfers and withdraws students as directed by School administrators and in compliance with district policy.
- Provides tech support to parents.
The District Assistant maintains a professional rapport and communicates effectively in writing and in person with parents, guardians, school staff, support staff, school, district, and agency personnel; demonstrates sensitivity to needs of students, staff and parents/guardians; maintains confidentiality of information regarding students; models appropriate behavior for students.
Required Qualifications:
- At least three years successful experience working with database software and with practical experience working with computers.
- Knowledge of PowerSchool, FileMaker Pro and Excel a plus.
- Good communication and interpersonal skills and be able to work collaboratively with school personnel.
- Experience working with the general public. The Data Assistant may serve as a first contact with families, providing the first welcome and reassurance that every student matters.
- Excellent organizational skills, record keeping and database management.
- Must be able to maintain high degree of confidentiality at all times with regard to staff and student data.
